We reccomend using picture cards to support you club activities. This may at times feel repertitive but here is why picture cards are an important and helpful tool to use in your cards ( or at home when supporting your childs language development).

What and why?
Each club must complete club report after each club session. This is the only reporting club volunteers are required to do and provides us with important information about how many club meetings there are in total during each season, how many families attend and what topics and activities are covered. 

Filling in the report only take a few minutes and it is mandatory. Club compensations for the season will only be paid once all club reports are completed. 

Note that you also need to complete a report if a club meeting is cancelled. 

What you need to do

• Agree who will fill in the club report after each time. Volunteers can take turns or one volunteer can take care of reports all season. 
• After the club meeting or a cancelled club fill in the club report -  CLICK HERE.
• On the form you will be asked to provide the following details if the club took place:
  • Date of the club
  • Number of volunteers present
  • Number of adult participants
  • Number of child participants
  • Theme of the club ( for example: Colors, Winter, Friendship) 
  • Short descrption of the activities carried out during the club ( Example:  We started with a song about winter and read a book titled Little bears winter holiday. We crafted winter bears out of handprints and made hot chocolate with marhsmallos with your snack) 
  • Rate your club: 0 = The club did not go at all according to plan and/or the atmosphere was not good   to 10 = The club went as planned and/or the atmosphere was great! 
  • Any other information you would like to relay 
    
• If the club did not take place, fill in the date of the missed  club and the reason it was cancelled.

What and why?
Each club has a budget of 120e per season to spend on purchase for the club, for example coffee, tea and snacks or crafting materials for the club.

It is very important to save the receipt from your purchases. At the end of the season, you will fill in a compensation form and attach all the receipts to the form. The deadline for spending your club budget and sending the compensation form to Familia is the end of each season on June or December. You will be reminded of the deadline in advance. Familia will reimburse the money once the compensations forms have been received and checked.

What you need to do

• Make sure your receipt only had Belingual purchases on it. DO NOT submit receipts that have other personal shopping on it.
• Sign the receipts and write the name of your club on it.
• Keep a copy of your receipt, we recommend you take a photo of it. See the example below of valid receipt.
• ​Fill the compensation form (download below) with the following information:
  • Name of recipient
  • Account number (IBAN)
  • Club name
  • Enter a description of each separate purchase, the date of purchase and amount in Euros. For example: Coffee and snacks, 1.1.2024, 14,50e
• Double check that your receipts and the total on your compensation from match.
• Attached your compensation form and your receipt to an email and send it to [email protected]

WHAT AND WHY
Each club maintains a register of participants that contains the names of the parents and children attending, the ages of the children and when they have attended the club. It is important that you as a Belingual volunteer know who is attending your club. This helps you make sure it is a safe space and you can see how regularly families are attending. 

WHAT FAMILIA DOES
Familia will share the initila list of registered participants at the start of the club season. You can use this list to create your own club register in a format the suite your club, whetehr electronic or paper format. This list will contain:

1. The name of the registering adult
2. Number of adults participating
3. Number of childreb participating
4. Ages of children attending 

Familia will not provide updates to the register directly, but we will send you a WhatsApp message with details of any new registrations throughout the season and you can update these to your register. 

WHAT YOU HAVE TO DO

1. Decide what format you will use for your register ( paper, electronic)
2. Fill the form by adding the clubs' dates 
3. At the first club meeting (or the first time the family attends),  you can update the register with the name of the other adult attending if relevant and the names of the children. 
4. We reccomend doing a roll call at the start of each club. One volunteer can be responsible for this task. This also helps participants get to know each other. Update your register everytme the club meets. 
5. At the end of the season, share the registration form with Familia, you can email it to [email protected] or just take a photo of it. This is not mandatory.
